Project Coordinator

Company: Precision General Commercial Contractors

Location: Novato, CA.

Hours: 40 hours per week.

Reports to: Sr Coordinator, Controller

Status: Non-Exempt

summary

 

Our Construction Project Coordinator is a key participant in a fast-paced environment. The individual in this role will play a key part in ensuring the successful execution of projects, maintaining smooth office operations, and efficiently managing both paper and electronic files. Additionally, the role includes tracking and coordinating various documents in close collaboration with project managers, subcontractors, and the accounting team.

 

 

Areas of Responsibility:

Collaborates with a team of Project Coordinators to ensure timely completion of administrative tasks in alignment with project schedules. Provides support to the department by producing subcontract agreements, change orders, client billing documents, daily reports, schedules, cost control documents, change-order tracking, and vendor/subcontractor tracking. Reviews incoming invoices before submission to Accounts Payable. Assists the project team with documentation preparation and ensures accurate record-keeping within accounting software (Spectrum).

 Coordinators are expected to maintain positive and effective working relationships with both internal and external members of the Project Team and support departments.

key responsibilities

 

  • Take directions from the Sr Coordinator and Controller, who is overseeing project(s) to which you are assigned.
  • Make sure all work has positive effect on the Quality, Safety, Timeliness and PGCC costs.
  • Work with management to:
    • Review Contractual obligations
    • Organize data for client billings- (Excel)
    • Create reports
    • Perform follow-through for Change Order Tracking
    • Accurately review and document in Accounting Software
    • Utilize software programs and templates to process, distribute, track and update to manage all project documentation.

qualifications & experience

  • Pursuing a bachelor’s degree (or Higher) in Construction Management, Civil Engineering, or any other related field.
  • Self-motivated with the ability to work independently and as a member of a team.

knowledge & skills

  • Ability to read and comprehend contracts
  • Strong written and verbal communication skills, as well as the ability to build strong interpersonal relationships.
  • A thorough comprehension of corporate and industry practices, processes, standards, etc. and the impact that they can have on a project.
  • Strong computer skills as well as a familiarity with the programs offered by Microsoft Office including excel.
  • Familiarity with Spectrum accounting software are desired but not required.

physical demands

  • Ability to remain in a seated position for most of the day while in home office (between 70% -100% of work time) operating a computer, phone and other office equipment i.e., a copier and computer printer (between 70% -100% of work time)
  • Ability to lift or move supplies, equipment, boxes, documents and materials weighing up to 25 lbs (occasionally heavier than 25 lbs) in office suites and/or at work sites (i.e. vendor sites, client sites, etc.)
  • Must be able to communicate via phone, email, and in-person with colleagues and professional contacts (i.e. vendors, support service providers, etc.) for most of the day (between 70% -100% of work time)

Additional Eligibility Criteria

  • Regular communication with internal and external constituents is required, including occasionally outside of regular working hours.
  • Must be legally authorized to work in the United States without restriction and/or company sponsorship.

Working Conditions & Environment

  • Must be able to commute as required from home to job-site locations located within a 30-mile radius from home as required. Reference employee handbook regarding mileage reimbursement.
