Aquatics Program Manager

Aquatics Program Manager and swim lesson coordinator 

The Flagstaff Snow Sharks Swim Team is looking to hire an Aquatics Program Manager and swim lesson coordinator for their non-profit learn-to-swim lesson program. This person sets the program schedule, oversees the program on deck during lessons, and performs administrative duties required for the lessons program. The current lesson schedule is Monday-Friday 3-7 pm as well as Saturdays 10-12 pm; we currently have a separate Saturday Supervisor to oversee lessons each week. The administrative responsibilities are primarily done from home. Our swim lessons are held at the Flagstaff High School pool. Salary based on experience 40 hours a week ($30,000-$34,000)


 

Required:

  • Strong communication skills
  • Experience with competitive swimming and teaching swim lessons or coaching a swim team
  • Experience in Program Management or a similar administrative/operations role
  • Lifeguard certification or be able to get certified within 3 months of hire
  • Registered USA Swimming Coach or be able to get certified within 3 months of hire
  • Must be able to be on deck Monday-Thursday (possibly Fridays) 3-7 pm and some Saturdays 10-12 pm
  • Must have a computer/laptop to complete administrative responsibilities 
  • Arizona fingerprint clearance card


 

Preferred:

  • Lifeguard Instructor
  • 2 years of management experience
  • Experience with payroll

On-Deck Duties of the Lesson Coordinator include:

  1. Manage lessons; Monday-Thursday 3-7 pm, possibly Fridays 3-7pm, and some Saturday 10am-12pm
  2. Run the Minnow School program, including Guppy, Bull Shark, Tiger Shark and Hammerheads
  3. Be on deck whenever Minnow School is in session to talk with parents, coaches, and swimmers
  4. Oversee Coaches and Lifeguards on deck, including providing feedback 
  5. Coach Minnow School classes or lifeguarding when needed
  6. Hold monthly trainings for all current Minnow Coaches
  7. Evaluate swimmers and place them in the appropriate class levels

Administrative Duties of the Lesson Coordinator include:

  1. Create coach & lifeguard schedule and add new swimmers to that schedule as needed
  2. Keep a copy of the current schedule on deck at all times
  3. Assure all lifeguards have current certifications
  4. Along with the Team Administrator, hire new coaches and lifeguards
  5. Assure all new hires have I-9, direct deposit paperwork, signed coach code of conduct agreement, current certifications on file, and any other requirements needed by USA Swimming
  6. Create the lesson schedule, coordinating lane/pool use and schedule with the Team Administrator
  7. Work closely with Team Administrator and Head Coach of Competitive swim team to move swimmers from lessons program to the competitive team.
  8. Maintain the monthly membership roster for the Minnow School
  9. Respond to emails for potential swimmers
  10. Maintain waiting list
  11. Collaborate and manage operations for collaborations with local teams and programs such as FACTS and Boys and Girls Club
  12. Attend board meetings and represent Minnow School to the board
  13. Work with the board to organize fundraisers for FSS
  14. Managing the Minnow School portion of the website to ensure all information is correct

Program Manager for a non-profit learn to swim program. Position encompasses administrative, operational, managerial, and executive tasks as well as a sitting board member and assists with board related activities.

Administrative: Update program and website as needed. Run billing and payroll. Onboard new swimmers and staff. Manage the Private Lesson Request List and Group Lesson Waitlist.

Managerial: Hire and supervise a staff of 15-20. Maintain up-to-date schedules and records for staff and members. Foresee concerns before they arise and troubleshoot staffing or facility concerns.

Operational: Ensure daily operations in-person by assisting coaches, tracking supplies, and coaching or lifeguarding as needed. Maintain active lifeguard, first aid, and USA Swim certificates.

Executive: Serve as a representative of Minnow School and FSS to staff, members, prospective members, the FSS Board, and the community at large. Collaborate and communicate with community partners and manage operations for collaborations.
