Registration and Transfer Credit Coordinator

ESSENTIAL FUNCTIONS, PRIMARY RESPONSIBILITIES AND OBJECTIVES:

Registration and Transfer Credit Coordinator is primarily responsible for providing database management and oversight to support the electronic processing and maintenance of student academic records. Registration and Transfer Credit Coordinator works closely with the Level Up and Dual Enrollment programs for course schedules, registration and grade entry. S/he is also responsible for assisting students towards graduation certification by working closely with Student Advising. Provides other administrative support to the Registrar’s department.

ESSENTIAL FUNCTIONS:

1. Works closely with National Student Clearinghouse (NSC) to oversee the transcript reporting process, and to ensure the accurate and secure automated delivery of student transcript services.

a. Resolves customer service issues with transcript requests and provides guidance to students and parents to ensure accurate and efficient delivery of requests. Escalates technological issues to the Associate Registrar as needed.

2. Responsible for the registration and maintenance of academic records; provides general advice and assistance to students concerning all College registration procedures and policies.

3. Responsible for electronic preparation, maintenance, storage and retrieval of accurate student records; processes student registrations, withdrawals, drop/adds, change of majors/degrees and change of address.

4. Serves as the point of contact person for satellite Centers for administrative

processing functions (for example processing degree changes, change of address)

5. Evaluates and processes incoming transcripts, enters and tracks transfer credits, and verifies transcripts for accuracy. Processes written correspondence with respect to transcript evaluation for all College locations.

6. Evaluates course credit transfers, records credits accepted from other institutions and serves as the point of contact for students who have questions about transfer credits. Maintains and assesses reports.

7. Processes internal and external requests for emergency and archived transcripts as needed, checks transcripts for accuracy, and maintains reports for such requests.

8. Works closely with Student Advising to evaluate degree and certificate requirements needed by students for graduation; advises and communicates with students to ensure all requirements for graduation are met and unanticipated problems are resolved. Assists with final graduation processing and commencement ceremony preparation.

9. Responsible for building course schedules with specific focus on the Dual Enrollment and Level Up programs; registration and grade entry.

10. Performs customer service and clerical duties, including but not limited to data entry, proofs schedules each semester, notifies students of cancellations, provides faculty, staff and students with information on course offerings and status, maintains procedural manuals, inventories and orders office supplies.

11. Maintains knowledge of and upholds college policies, standards, and regulations (FERPA and other government regulations) and review and revision of departmental procedures.

12. Cross train in all departmental functions.

13. Responsible for mission project initiatives (for example The Rocket Project).

14. Works during high impact periods, which include, but are not limited to: orientations, first two weeks of the semester, last two weeks of the semester prior to finals, and advising periods. 

15. Other duties and responsibilities, as assigned.

11. Available during peak periods of the year to meet strict deadlines and high service volume.

12. Ability to maintain strict confidentiality of materials and information.

EDUCATION:

- Associate Degree required.

- Bachelor’s Degree preferred.

EXPERIENCE:

- Minimum one year office experience in higher education preferred.
