
Data Specialist
PRIMARY FUNCTIONS:
The Data Specialist will play a critical role in managing and analyzing data to support Boys & Girls Club’s mission. This role involves collecting, organizing, and interpreting data related to program outcomes, member participation, and operational efficiency. The Data Specialist will work closely with program staff, management, and external partners to ensure data accuracy and integrity. Additionally, the Data Specialist is responsible for managing accurate membership records and following protocols and standard operating procedures.
KEY RESPONSIBILITIES
- Data Management: Develop, input, and maintain databases (ClubHub, Beyond the Bell App, etc. ) to track program participation, outcomes, and other key metrics. Ensure data is accurate, up-to-date, and easily accessible. Is responsible for ensuring that all members' participation dates are kept up-to-date to provide accurate numbers. Assist in the tracking of member attendance and participation for annual assessments/reports including but not limited to, the annual NYOI survey, annual report, grant reports, etc.
- Data Analysis: Analyze data to identify trends, measure program effectiveness, and support decision-making. Create reports and dashboards to communicate findings to staff who need them for their stakeholder communication.
- Reporting: Generate reports for internal use and external reporting requirements. Present data insights to leadership and recommend improvements based on findings.
- Quality Assurance: Implement data validation processes to ensure data accuracy and
consistency. Troubleshoot data-related issues and implement solutions.
- Support & Training: Provide training and support to staff on data entry and usage. Assist with the development of data collection tools and methodologies.
- Compliance: Ensure data practices comply with organizational policies and relevant
regulations (e.g., privacy laws, grant requirements).
- Collaboration: Work with all site coordinators and other program and fundraising departments to identify data needs.
- Customer Service: Responsible for ensuring all member families are kept updated on Club's policies.
- Financial Management: Process and collect payments for membership and related activities. Ensure all guardian payments are current and paid in a timely manner. Provide membership and payment reports monthly to the CEO and Financial Coordinator. Data Specialist assists in the management and recommendations of scholarships offered to families by collecting all needed documentation and following up with applicants. Supports revenue reimbursement programs with the Financial Coordinator, such as CCRC and VCA. Complete necessary paperwork and follow-up.
ADDITIONAL RESPONSIBILITIES
- May be required to drive a Club vehicle (depending on driving record and age).
- Coordinate, manage, and execute Fall, Spring, Summer, and Winter program web-based registrations.
- Process all incoming memberships and renewals. Communicate information to the appropriate school site.
- Maintain up-to-date program and guardian information and communicate updates and changes to guardians.
SKILLS/KNOWLEDGE REQUIRED
- Four-year degree in a related field from an accredited college or university, or equivalent experience.
- Proven experience in data management and analysis, preferably in a nonprofit or youth-focused organization.
- Proficiency in data analysis tools and software.
- Strong analytical skills with the ability to interpret complex data and provide actionable insights.
- Excellent attention to detail and organizational skills.
- Strong communication skills, with the ability to present data clearly and understandably.
- Ability to work independently and as part of a team.
- Must be fully bilingual (English/Spanish)*
