Outreach & Giving Coordinator

POSITION IDENTIFICATION:

The Outreach & Giving Coordinator is a full-time hourly position; 40 hours per week

 

POSITION SUMMARY:

The Outreach & Giving Coordinator supports the Communications & Development Specialist in marketing, volunteer, and fundraising efforts for GTCD in addition to administrative tasks and other duties as assigned.

 

RELATIONSHIPS:

Reports to: Communications & Development Specialist

Supervises: None 

Works with: All Grand Traverse Conservation District staff; volunteers

External Stakeholders: Volunteers, Donors, Program Participants.

 

RESPONSIBILITIES AND DUTIES:

Development 

  • Database entry and maintenance including gift and pledge entries, updates to contact information, meeting notes, etc.
  • Creating and mailing gift acknowledgement and pledge reminder letters as gifts and pledges are received 
  • Prepping sites for donor meetings & donor recognition events: tasks include setting up tables, chairs, purchasing food and beverages, ice, and gathering and assembling meeting informational materials 
  • Coordinating GTCD’s brick paver program
  • Other duties as assigned 

Marketing

  • Managing GTCD’s social media: strategically planning social media post schedule and creating posts and reels. 
  • Creating and sending out GTCD’s monthly e-newsletter 
  • Working with the Communications & Development Specialist to design event fliers, email blasts, and other materials for GTCD events as needed 
  • Assisting in creating other campaign collateral such as developing signage, videos, and mailings
  • Maintaining and updating mailing lists and database
  • Compiling and sending out monthly media alerts of upcoming events
  • Delivering GTCD materials to area organizations and partners as needed
  • Other duties as assigned

Volunteer Program

  • Working with Communications & Development Specialist and other departments to assess current volunteer needs
  • Working with the Communications & Development Specialist to manage the recruitment and training of all volunteers including developing and conducting a regular, consistent volunteer orientation and spring volunteer open house
  • Communicating with all volunteers after application submission
  • Tracking volunteer information, hours, and interests in Little Green Light database
  • Recruiting volunteers, as needed, through social media and current volunteer contact list 
  • Working with the Communications & Development Specialist and departments to develop a system of volunteer benefits and recognition program
  • Assisting the Communications & Development Specialist in the planning and execution of a Volunteer Appreciation Event once a year
  • Ensuring proper background checks are performed
  • Working with appropriate staff to ensure volunteers are properly trained in their area of work
  • Other duties as assigned      

Organizational Support

  • Interfaces with all District departments; 
  • Handles open position postings and processing;

  • Highest standards of confidentiality are maintained regarding our donors, volunteers and district personnel;
  • District’s Style Guide will be used accurately for all marketing and graphic design needs;
  • Representing the District with the highest integrity of customer service in aligning with our mission
  • Data is accurate and well maintained

     

WORKING CONDITIONS:

The primary workplace is in a typical office setting at the Grand Traverse Conservation District office in the Boardman River Nature Center in Traverse City, MI. 

 

REQUIRED KNOWLEDGE & EXPERIENCE:

Related Work Experience

  • A minimum of two years related experience 

Formal Education or Equivalent

  • Bachelor’s degree (or equivalent training) preferred

Skills & Abilities

  • Excellent organizational skills, with motivation for details and high level of accuracy;
  • Able to focus and manage several projects in an environment with multiple distractions;
  • Must be able to work independently and as part of a team;
  • Experience working with donor database software;
  • Proficient in use of PC and Microsoft Office Suite, specifically Excel;
  • Must have a valid driver’s license and reliable transportation; 
  • Basic graphic design, marketing and Communications skills;

 

COMPENSATION: 

The Outreach & Giving Coordinator is a full-time hourly position; 40 hours per week: $19-$20/hour, commensurate with experience. Benefits include paid holidays, 18 paid days off per year, retirement, and the Conservation District’s group health insurance package including dental and vision.
