Position:

Project Coordinator, Full-time, VA Center for Clinical Management Research (CCMR), VA Ann Arbor Healthcare System, Ann Arbor, MI. 

 

Description

The VA Center for Clinical Management Research (CCMR) is located at the VA Ann Arbor Healthcare System in Ann Arbor, MI. CCMR optimizes digital data use through innovative data collection and analysis to promote personalized care, improve safety and outcome for high-risk patient by evaluating systems-based approaches, and enhance patient engagement to prevent and manage chronic conditions. CCMR is seeking a full-time Project Coordinator to support one of its affiliate evaluation centers. The incumbent will primarily provide project coordination support to multiple projects, specifically those focused on program evaluation, implementation science, and health systems education.

Key Duties

 

  • Project Coordination 
    • Monitor and track progress of various project (e.g. training initiatives and evaluation plans) to ensure timely and successful completion according to established goals and timelines. 
    • Assist with the development and refinement of program evaluation and implementation science guide materials, training materials, proposals, journal manuscripts, technical reports, and slide sets. 
    • Document discussions and action items from internal and external meetings, including notetaking for meetings with operational partners, core meetings, internal workgroup meetings. 
    • Organize and schedule internal and external meetings, including the development of meeting agendas. 
    • Present project key updates and findings at team meetings.
    • Organize and maintain file systems to ensure easy access and efficient retrieval of center documents. 
    • Engage in quality control checks to identify discrepancies and ensure projects deliverables meet established guidelines and are accurate and consistent.
    • Maintain regular, clear, and timely communication with team and operational partners to ensure accurate and effective collaboration.
  • Participant Recruitment for Evaluation Projects 
    • Recruit and schedule study participants (primarily for virtual interviews with VA leadership, providers, and patients).
    • Work closely with lead evaluators to develop recruitment strategy and materials
    • Ensure adherence to study enrollment goals. 
    • Track participant recruitment and participation through study activities.
    • Communicate recruitment progress to team and key partners.
    • Maintain rapport with study participants. 
    • Perform data quality control (e.g., check audio file recordings for sound quality).
    • Serve as a point of contact for submission of audio files for transcription.
    • Assist with interview notetaking and transcript cleaning, as needed. 
  • Educational Content Development & Assessment
    • Coordinate the development and functioning of specialized workgroups composed of content experts to develop and consolidate resources aimed at creating new training opportunities in implementation science and program evaluation.
    • Assist with the assessment of training impact through tracking participant data to identify areas for improvement. 
    • Assist with organizing and coordinating logistics for learning presentations, workshops, and learning collaboratives to ensure comprehensive and effective sessions.
    • Assist in collecting and delivering content and guiding discussions to enhance participant engagement during trainings.
    • Assist in investigating and integrating innovative training methods and technologies to enhance learning experiences. 

 

  • Perform other duties as within the scope of the GS-9 grade.

  • Comprehensive knowledge of standard software including Windows versions of Word, Excel, PowerPoint, and Outlook
  • Prior experience in graphic design
  • Ability to act on constructive feedback and adapt based on experience
  • Capable of working in a remote work-from-home environment
  • Familiarity with key facets of program evaluation
  • Proactive work ethic

 

Minimum Qualifications:

  • Bachelor’s degree (Master’s degree preferred) 
  • Project coordination experience 
  • Ability to communicate (speak, read, and write) in English
  • US citizenship required. 

 

Salary Range

Commensurate with experience + benefits (GS9 on Federal Pay Scale based on employee locality)

Location:

Position is full-time remote.

 

Schedule:

  • Monday to Friday
  • 8 am to 4:30 pm EST 

 

Start Date:

Negotiable
