Job Location:
Accounting Office in Flagstaff, Arizona (30 minutes from Williams).

Job Summary:
The Sales Auditor is responsible for the daily compiling and reporting of all applicable lodging, food and beverage, retail, transportation and other miscellaneous revenues and receipts generated daily at the Grand Canyon Railway and Tusayan Trading Post. This position will also cross-train in the reporting of retail revenues/receipts for the Grand Canyon South Rim properties.

The Details:
Position Type: Full-Time, Year-Round
Starting Pay: $20.00 per hour or higher depending on experience.
Schedule: 40 hours, 5 days/per week (Monday - Friday)

Responsibilities

  • Runs and obtains reports and compile and input data into Excel spreadsheet of daily revenues and receipts from all non-retail operating units for the Grand Canyon Railway and Tusayan Trading Post.
  • Reviews and authorize daily retail receipts in the Mi9 Retail system for the Grand Canyon Railway and Tusayan Trading Post Report any system errors/problems as they occur.
  • Performs daily review of the Opera detailed guest ledger, accounts receivable ledger and the advanced deposit ledger to amounts on the trial balance and report any discrepancies. Maintain for general ledger input a month to date file of all recorded sales and cash data.
  • Maintains Mi9 Retail balancing spreadsheet of revenue, receipts and stats by store. Complete online store and coin medallion balancing spreadsheets. Complete Mi9 Retail sales tax audit spreadsheet.
  • Completes, reviews and distributes daily revenue/stat reporting to Grand Canyon Railway and Tusayan Trading Post management.
  • Maintains spreadsheet for cash and credit card account reconciliations for the Grand Canyon Railway and Tusayan Trading Post.
  • Audits daily auditor envelopes provided by the Williams and Tusayan Trading Post operations (front desk, RV Park, ticketing, retail operations, F&B outlets, etc.) to ensure proper control procedures are being followed.
  • Performs daily review of the Clover revenue to payment receipts. Research and report any discrepancies.
  • Maintains a filing system of all daily Opera, Simphony, Clover, and Mi9 Retail reports/back-up as required by property/corporate guidelines. Distribute all billing documents to the Assistant Controller and all tip information to the Accounting Manager. 
  • Balances daily credit cards from operating systems to Shift4 and research any discrepancies. Review cash receipts report (Opera) for any cash transactions posted by Reservations: if any, ensure that they are corrected the following day.
  • Tracks and reports daily over/short and audit issue activity to, Internal Auditor and Controller. Send out daily and monthly recap report of all department over/shorts.
  • Tracks and report daily voids (post and transaction), refunds, and exchanges to the Regional Internal Auditor and Regional Controller. Send out monthly recap reports to same.
  • Responds to customer service calls and submits for approval and process guest credit card refunds/charges.
  • Research customer credit card chargebacks and respond timely back to credit card companies on the acceptance/refusal of the requests. Maintain a log of the status and results of each chargeback.
  • Completes weekly check request for the payment of baggage transfer fees to the GCSR.
  • Provides bi-weekly tip information for the Grand Canyon Railway (PSA train group tips, baggage transfer tips, group baggage tips, etc.).
  • Boxes up company records and request record retention labels according to company policy. Participate in record retention activities – moving of records, inventories, disposals, etc.
  • Participates in the month end closing process as directed.
  • Completes timely and accurately any assigned balance sheet account recons.
  • Cross-trains in the GCSR retail auditor responsibilities to fill-in as needed.
  • Participate as needed in annual retail inventories.
  • Maintains work area/desk must be kept clean and organized.
  • Maintains, updates and revised the sales and cash desk policy and procedures manual as needed.
  • Understands and ensures compliance with all accounting policies & procedures.
  • Understands and complies with all Xanterra and Grand Canyon Railway hospitality standards, procedures and policies.
  • Other duties as assigned.


Qualifications

  • Must have previous computer experience with a working knowledge of Excel spreadsheets.
  • Must have a good working knowledge of windows-based software programs to be able to communicate effectively via email (Outlook) and for tracking and reconciling applicable reports (Excel).
  • Must be able to handle highly confidential information.
  • Minimum of 1 year experience in accounting.

Physical Requirements include:

  • Constantly sitting, using eye/hand coordination, handling, reaching outward, and using wrist motion.
  • Occasionally reaching above the shoulder, bending, standing, walking, climb flights of stairs, squat/kneel, lift/carry and push/pull up to 30 lbs.
