The State of New Hampshire, Department of Justice, Civil Law Bureau, has a full-time vacancy for a Legal Assistant-3.

Summary:
To render legal secretarial and administrative services for attorneys and paralegals in the Civil Bureau.

MINIMUM QUALIFICATIONS:

Education: Associate's degree from a recognized college or two years of college with major study in law, paralegal studies, a related legal field, or secretarial science. Each additional year of approved formal education may be substituted for one year of required work experience. 

Experience: Three years' experience in a secretarial position, including experience in a legal office or in an area which provided experience with legal terminology. Each additional year of approved work experience may be substituted for one year of required formal education. 

SPECIAL REQUIREMENTS: For appointment consideration, Legal Secretary IV applicants must successfully participate in a structured interview measuring possession of knowledge, skills and abilities identified as necessary for satisfactory job performance by this class specification. The structured interview is developed and administered, according to Division of Personnel guidelines, by representatives of the state agency in which the vacancy exists.

 

Responsibilities:
Types pleadings, memoranda, letters; transcribes Dictaphone tapes and composes routine pleadings and letters to ensure the timely, accurate and professional completion of documents. 

  • Schedules work assignments for subordinate bureau staff including establishing workflow, giving instruction and reviewing work accuracy during absence of chief secretary to ensure the continued smooth operation of the bureau.
  • Becomes familiar with office's case management system (CMS), and all state and federal court rules and procedures pertaining to the scheduling and management of cases. 
  • Based upon this knowledge, is responsible for maintaining the docket of Civil Bureau cases and ensuring that CMS entries are consistent with the requirements of the courts, giving particular attention to ensuring that filing deadlines are met. 
  • Contacts federal and state agencies, citizens, legislators, attorneys and court personnel to schedule hearings, depositions, meetings, and/or conference calls and to direct parties to the appropriate entities.
  • Supervises the Civil Bureau receptionist and ensures telephone coverage at all times. 
  • Organizes and maintains case files, research files, form files and miscellaneous files enabling retrieval of documents.
  • Enters data into a computer from attorneys' daily timesheets used to determine cost recovery and track attorneys' hourly work schedules for case management purposes.
  • Prepares briefs, which includes proofreading, checking citations for correct format, and preparation of tables of authorities and contents; oversees filing of briefs, notices of appeal and appendices thereto with the court in compliance with court rules governing format, filing and service.
  • Administers and manages cases in an independent manner in discreet areas to assist attorneys in the preparation of routine pleadings, letters and memoranda.
  • Assists in coordinating responses to citizen inquiries and discovery requests to aid chief secretary. 
  • Ensures that sufficient quantities of necessary office supplies are available for use by members of the Civil Bureau as back-up for Legal Assistant.
  • Maintains contract log on computer to ensure tracking and follow-up on all contracts submitted for approval.
