Administrative Assistant

Salary Range:$21.21 To 25.98 Hourly

THE CITY OF LEAWOOD, KANSAS is looking for an
 ADMINISTRATIVE ASSISTANT

Summary of the Position: The Administrative Assistant provides administrative support to the Parks Maintenance Division of the Parks, Recreation & Arts Department.   Provides a high level of customer service while performing work of moderate difficulty supporting and assisting the day-to-day operations of the Parks Maintenance Division.  

The general hours of the position will be 6:30am to 3pm Monday through Friday.  There will be occasional evening hours required to assist with Division Committee meetings.  

General Overview of Responsibilities: 

  • Performs a variety of clerical duties including but not limited to typing correspondence, meeting minutes, reports, running errands for the department and special assignments.
  • Provides administrative support, information, and direction to employees and the public regarding the park’s maintenance division. Responds appropriately to inquiries regarding parks maintenance projects, construction, and contracts.
  • Responsible for ensuring maintenance of office equipment and ordering of office supplies for Parks Maintenance division.
  • Codes and prepares invoices for approval signatures. Monitors and reports expenses as requested. Completes a monthly review of accounts for any discrepancies.
  • Verifies and processes purchase requests related to the Parks Maintenance division.  Rectifies problems with billing or ordering.   Processes all accounts and payments.
  • Responsible for verifying, reviewing, and processing vendor invoices in the financial system and processing payments through the City’s Financial System. Maintains the vendor maintenance files.
  • Responsible for updating and maintaining Parks Maintenance records in appropriate electronic and paper filing systems.
  • Coordinates department travel plans including but not limited to arranging transportation and lodging, travel expenses and required registration.
  • Acts as main point of contact for deliveries and guests when arriving at the Parks Maintenance Facility.
  • Coordinates daily mail activities, both incoming and outgoing, for the division.
  • Assists the Parks Superintendent with the Bike/Walk and Sustainability Advisory Boards. Duties may include agenda and packet preparation, ordering meals and taking of and maintaining meeting minutes.
  • May assist the Parks Superintendent in coordinating employee pay changes with Human Resources.

Minimum Requirements:  Must have a high school diploma or equivalent.   Must have a minimum of two (2) years’ experience in an administrative or clerical position. Experience in processing invoices and records management preferred. An Associate’s degree in Business Management or related field is equivalent to two (2) years of experience. Must possess a valid driver’s license and acceptable driving record per the City’s drivers Use of Vehicles for City Business policy throughout employment with the City.
