Recreation & Event Manager

Recreation & Event Manager - Kohler, Wisconsin

This key individual will report to the Director of Program Management and Engagement. This position is responsible for the development, delivery, marketing, and collaboration of employee special events and recreational activities (i.e. community events, walking groups, fun runs, leagues, employee clubs, etc.). The Manager will support a large manufacturing employer and will work closely to align with the employer’s culture, HR Team, and Total Reward’s Team strategies. This role will be a key conduit between client departmental groups to enhance overall employee experience, creating unique social connection opportunities across the workforce. A hybrid work schedule can be considered for this role with Tuesday, Wednesday, and Thursday being required in office days.

Key Accountabilities:

Ensures contract compliance. Manages client relationship to ensure that high customer satisfaction is maintained and HealthFitness value is reinforced.

Manages the development of outcomes focused programs to meet client objectives; interfaces with client company management and peripheral departments as appropriate to assess client needs and identify HealthFitness programming solutions.

Coordination of resources (e.g., supply management, referees, indoor/outdoor areas). Coordination with community organizations regarding special event and/or recreational based events in the community (e.g., 5K Runs, Tough Mudders). Coordination with client department groups to support clubs and employee experience initiatives.

Development and implementation of the yearly strategic engagement (business).  Leads the development, interpretation, and enforcement of all systems, policies and procedures of recreation facilities, programs, special events and services. 

Develops key recreation and event initiatives that align with employer HR, Total Rewards and Wellness team strategies.

Develops outcomes focused employee experience programs including data collection and evaluation process; delivers personalized services and other programs to participants as applicable.

Directs the implementation of programs and special events; supports the coordination of recreation and/or special event marketing and communications to maximize program engagement.  Works with employer security and local security as needed, based on the event and/or activity.

Manages all recreation, special event, and employee experience program activities in accordance with HealthFitness operational, quality, safety, and service standards. Scheduling of league play and special events. 

Tracks recreation & special event participant, program usage data, and statistical outcomes reporting for league play and/or special events.

Maintains accurate records and ensures confidentiality of data collected during activities is in accordance with HealthFitness requirements, including applicable file transfer, processes, collaborating with related suppliers and/or storage.

Prepares and manages operating budget.  Ensures expenditures are made in accordance with applicable policies and procedures. Submits billing worksheets accurately and according to contract provisions and HealthFitness policies.

As applicable…

Carries out supervisory responsibilities in accordance with HealthFitness policies, procedures and applicable laws including recruiting, orienting, training, evaluating, developing, and planning the succession of associates.  Plans, assigns, and directs work assignments to ensure staff remain challenged and productivity is maximized; provides training and development opportunities to promote and encourage career growth.

Ensures staff is properly trained and hold appropriate certifications necessary for safe and effective program delivery; provides continuous feedback and coaching to all program staff to ensure quality of all programs and services being delivered. Conducts formal performance appraisals on an annual basis and initiates formal corrective action process when warranted.

Leads regular individual and group staff meetings to ensure associates are informed about HealthFitness, client and program events, initiatives, and status.

Submits employment forms, payroll records and accurately and according to contract provisions and HealthFitness policies.

Coordinates recreation internship program; oversees the recruitment, training, supervision, and evaluation of student interns.  

Minimum Requirements

Bachelor’s Degree in Recreation, Leisure Studies, Sports Management, Physical Education, or related discipline required or the equivalent combination of certifications, education, and experience.

3+ years’ experience working in the field of recreation or related field.

Current OSHA compliant CPR/AED and First Aid certifications through the American Heart Association, Red Cross, National Safety Council or American Safety & Health Institute.

Strong leadership, team management, interpersonal and customer service skills including the ability to motivate others.

Ability to demonstrate strong project management skills including the ability to effectively organize and prioritize work demands, meet deadlines, and collaborate with all business units.
