HR Coordinator, Performance

Fellowship Program Position: This Fellowship Program position is a full-time, temporary, limited term assignment not to exceed three years from the date of hire. It is intended for individuals that have graduated with a bachelor's degree or a master's degree from an accredited college or university within the last 12 months.

The HR Coordinator, Performance is responsible for providing administrative support to the Performance Management team. The incumbent will assist with performance reviews, 360 feedback and other related performance management activities, develop and maintain performance management processes and documentation, support special projects, and provide additional Organizational Excellence (OE) support. This position will proactively work with OE staff, the Performance Management team, members of management, and agency employees.


WHAT YOU WILL DO:

Administrative Support
•Collaborates with Performance Management staff to develop and maintain a working knowledge of standard performance management processes and techniques.
•Collaborates with Performance Management staff to produce reports on measurement results.
•Processes documentation and prepares monthly and ad-hoc reports as required.
•Provides administrative and technical support for training of staff on performance management practices, processes and systems.
•Works with Performance Management staff to facilitate updates to online performance, talent, and career development resources.
•Works with Performance Management staff to support robust, ongoing, performance practices and processes like performance reviews, 360 feedback or calibration with business partners.
•Collects, coordinates, enters, and implements data for 360 reviews.
•Serves as a positive, proactive, collaborative team member.
•Serves as the team records retention liaison and performs regular and annual purge related activities.
•Assists in the administration of performance documents, to include 360 feedback, annual performance and probationary reviews, and employee development plans in the online performance management system (Cornerstone Perform module).
•Assists with site administration for department SharePoint libraries.
•Assists and supports to succession management initiatives as needed.

Documentation Management
•Provides support for knowledge transfer activities, to include process documentation, interview transcription, and document transfer to stakeholders.
•Ensures performance documentation is appropriately stored each cycle or as appropriate for off-cycle tasks including document management.
•Facilitates printing and accurate filing of hard copy performance documents in employee personnel files as requested by management.
•Researches and confirms completion status of employee performance documents in performance management systems.
•Serves as back up and support for performance team documentation and retention initiatives.
•Assists succession process with administrative support, to include preparation of presentation and communication materials, program documentation for candidates, report generation and distribution, and file maintenance.
•Assists with documentation updates and creates new materials as requested for business partner support.

OE Support
•Provides general administrative support to other Organizational Excellence (OE) staff and program areas, including preparing correspondence, forms, and other documents.
•Provides back-up support and assistance to other OE Coordinators to ensure continuity of operations during staff absences and peak periods.
•Provides administrative and technical support in generating and reviewing reports, updating data and tracking changes, and assisting with testing of system enhancements or new process implementations within online performance management system.
•Receives and regularly reviews system release enhancements for the Cornerstone Performance module.
•Serves as backup administrator for HRIS Performance system module.
•Performs related work as assigned.

Fellowship Program
•Participates in trainings and projects related to the TRS Fellowship Program including webinars, quarterly check-ins, classes or other learning activities, book group, projects and the mentoring program.
•Meets TRS Fellowship Program deadlines and goals for completion of trainings in deliverables in a timely manner.
•Performs related work as assigned.


 

WHAT YOU WILL BRING:
 

Required Education
•Bachelor’s degree or Master's degree from an accredited college or university in human resources or a closely related field awarded within the last 12 months.

Required Experience
•None.

Required Registration, Certification, or Licensure
•None.

Preferred Qualifications
•Experience handling HR documentation including employee files and personnel actions.
•Basic understanding of HR policies and practices.

Knowledge Of
•Human resources principles and practices.

Skills In
•Strong computer skills including Microsoft Outlook, Word, Excel, and Power Point.
•Effective written and verbal communications, including preparing and delivering complex correspondence, reports, presentations, and proposals.

Ability To
•Maintain employee confidentiality.
•Provide quality customer service.
•Organize and prioritize work to manage a high-volume workload in a fast-paced environment, and complete work accurately while meeting deadlines.
•Establish and maintain harmonious working relationships with co-workers, agency staff and external contacts, and to work effectively in a professional team environment.
