Human Resource Assistant

Position Summary: Consistent with the Christian mission and vision of the YMCA of Middle TN, and in cooperation with other YMCA staff, under the direction of the Sr HR Director, the Human Resource Assistant is responsible for providing direct human resource support to Youth Development employees while maintaining confidentiality of all employee information. The Human Resource Assistant is responsible for other administrative functions, including payroll processing and the hiring process.

 

Essential Functions:

  • Supports the YMCA mission and models the YMCA core values: Caring, Honesty, Respect and Responsibility.
  • Ensures outstanding customer service and meets the New Way to Work philosophy and Association Standards.
  • Proactively supports a positive employee relations environment and supports our open-door policy.
  • Models and puts into practice behavior that supports inclusion and diversity. 
  • Build relationships and interact with Youth Development employees. 
  • Provides clerical and administrative support to the HR Youth Development department, including accurate and timely data entry, filing, and file organization. 
  • Accurately prepare and process Youth Development’s payroll maintaining all required payroll documentation as required; monitor labor reports for accuracy. Ensure errors deadlines and payroll deadlines are met.
  • Function as the primary contact for assisting departments and employees with any payroll questions, including password resets, direct deposits and returned deposits, PTO requests and approvals; consults promptly with the Payroll Department on any issues
  • Communicate with all Program Directors on staffing needs in their county or center.
  • Assist the HR team with the recruitment process including posting, interviewing, and onboarding new employees.
  • Maintain a caseload of applicants for hire ensuring follow up and completion of the new hire process in a timely manner.
  • Approve new hire paperwork to ensure all forms are completed and acceptable documentation is provided; maintain all employee and employment records accurately and in compliance with approved guidelines and standards of the Association and Department of Human Services.
  • Responsible for making offers of employment to potential employees.
  • Recommend candidates for appropriate positions and make introductions to direct supervisors.
  • Responsible for tracking completion of Paycom trainings, the Child Abuse Prevention Refresher and CPR certifications; monitors reports and communicates incomplete trainings and expired certifications.
  • Oversees electronic employee files to ensure all required paperwork is completed and maintained; completes, validates and verifies all new hire paperwork and personnel changes
  • Notify HR team of any human resource policy violations
  • Ensure that all staff members have access to the tools/resources needed to fulfill their positions
  • Attend HRC Cabinet meetings, staff meetings and related trainings
  • Collects payroll deduction pledge cards for the Annual Giving Campaign; monitor for accuracy and submit to the Payroll Department.
  • Prepare and process purchase orders, check requests, and similar documents related to the Youth Development’s operation.
  • Analyze financial records: statements, payroll, etc.
  • Evaluate the effectiveness of the Youth Development’s administrative processes and recommend improvements
  • Assist new employees with benefit enrollment as well as existing employees during open enrollment.
  • Manage workers’ comp claims and ensure paperwork is completed and submitted to Association Services for processing.
  • Responsible for making sure leave cases are initiated for medical leave to determine FMLA eligibility and personal leave forms are completed for personal leave.
  • Provide backup support to the HR Youth Development Team in all administrative areas.

 

Qualifications

  • Strong interpersonal and communication skills and the ability to relate effectively to diverse groups of people from all social and economic segments of the community
  • Must present a professional image and possess conflict resolution skills, and demonstrate sound judgment and initiative
  • Must be highly organized with the ability to work under pressure and handle multiple tasks
  • Must be able to maintain confidentiality of information
  • Proficiency in Microsoft Word, Excel, PowerPoint, and other software programs, as well as the ability to use most office equipment is required
  • Minimum 18 years of age
  • Minimum three years’ work experience in an office environment is required; human resources experience preferred

 

Certifications Required: (We pay for these & pay you for your time to take them!)

  • Before start of 1st shift: New Hire Orientation training
  • Within two weeks of hire: HR, Payroll, and Accounts Payable training
  • Within 30 days of hire: Membership Software and Raiser’s Edge training
  • Within six months of hire: Complete course training and Certify in Adult Mental Health First Aid USA from the National Council for Mental Wellbeing

 

While performing the duties of this job, the employee may be required to stand; walk on uneven surfaces; sit; handle or feel objects; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch, or crawl; talk or hear; taste or smell. The employee must be able to lift up to 25 pounds. The employee may be exposed to weather conditions prevalent at the time. The noise level is usually minimal to moderate.
