Accounting Assistant

General Description: Innovative Consulting and Solutions is looking for an Accounting Assistant to support its growing bookkeeping division. This person will manage all accounts payable, accounts receivable, and payroll processes for multiple clients. This role ensures accurate processing and recording of the clients’ payroll, provides timely and accurate financial information, and participates in daily data entry and financial transactions. The ideal candidate will be detail-oriented, with strong analytical skills and a deep understanding of accounting principles and payroll practices.


Duties and Responsibilities:

  • Process weekly and bi-weekly payroll, including calculating wages, benefits, tax deductions, and other deductions.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Prepare payroll reports for management to review and ensure accurate record-keeping for audit purposes.
  • Address issues concerning payroll tax payments and filings
  • Process and verify invoice transactions, ensuring accuracy and compliance with company policies.
  • Maintain vendor files, manage payment cycles, and resolve invoice discrepancies.
  • Prepare financial reports related to accounts payable for management review.
  • Prepare sales tax filings for clients; Prepare Form 1099-M and 1099-NEC
  • Manage the billing process, including invoice generation and account reconciliation.
  • Monitor customer accounts for delayed payments and follow up on outstanding balances.
  • Maintain accurate records of all accounts receivable transactions.
  • Perform month-end and year-end closing tasks as needed
  • Complete administrative tasks such as collecting the mail, scanning documents, ordering supplies, and fielding phone calls
  • Assist with onboarding new clients to ensure a successful transition into ICS
  • Communicate with clients via telephone and email to answer questions and troubleshoot
  • Provide support to the bookkeepers and CEO, as needed
  • Perform other duties as assigned


Qualifications:

Software you will learn to use:

  • QuickBooks Online
  • Bill.com
  • Gusto
  • Excel- V-Lookup and Pivot Tables
  • Google G-Suite

Education and skill requirements:

  • Bachelor’s degree in Accounting, Finance, or related field.
  • Experience in accounts payable, accounts receivable, and payroll processing is a plus
  • Strong understanding of accounting principles, payroll taxes, and financial reporting.
  • Experience working in the non-profit sector is a plus
  • Excellent written and verbal communication and presentation skills
