Election Judge Scheduling Support Specialists

Position Description

Minneapolis Elections & Voter Services is a division of the Office of the City Clerk whose purpose is to support access to local government. We administer local, state, and federal elections for Minneapolis voters. Our estimated population is 430,000 with about 260,000 registered voters. Behind Hennepin and Ramsey County, we are the third largest voting jurisdiction in the state. We work to conduct elections with integrity, accuracy, and accessibility, empower civic participation across generations, and lead in election administration through innovation and collaboration.

Election Judge Scheduling Support Specialists are responsible for the coordination and assignment of Election Judges who work in the polling place on Election Day.  These individuals also assist the election judge training team with various administrative tasks related to the hiring, training, and scheduling of election judges.
 
We currently have two different opportunities:  
 

  1. A temporary position from January 22, 2024, through December 31, 2024 with regularly scheduled hours.  This position can anticipate a break in April/May between the Presidential Nomination Primary and the August State Primary.
  2. A temporary position assisting with Election Judge check-in, scanning, and paperwork during day, evening, and weekend classes in February/March, June/July/August, and September/October/November 2024.  Hours will be irregular, and dependent upon the Election Judge training schedule.

 

Job Duties and Responsibilities

 

  • Manage the entrance area, controlling traffic through the office.
  • Prepare and handle election materials (file folders, books, documents, mail, records, etc.) for filing, storage, shelving, distribution, or destruction
  • Type or use word processing software, spreadsheets or databases to produce documents with timeliness, accuracy, neatness, and judgment for intended distribution. Can include communications to public, meeting agendas, meeting notes, and division wide schedules.
  • Work with other City and County departments.
  • Support the hiring and onboarding process for election judge workers.
  • Perform a wide range of clerical duties related to election operations which may include, but are not limited to: filing, support of election judge training activities; support of election judge recruitment and scheduling; support roles at various absentee voting locations throughout Minneapolis as necessary; support roles at elections warehouse.
  • Sending election judge training reminders.
  • Preparing and managing election judge training sign-in sheets, nametags, and other materials.
  • Tracking attendance at all election judge trainings (includes some weekend/evening hours) and may include varied hours on the same day, depending on training schedules.
  • Communicating information related to hiring and human resources-related topics to election judges at in-person trainings as well as via phone/email; collecting related forms and information from judges.
  • Assisting election judges with questions.
  • Perform a wide range of clerical duties related to election operations which may include, but are not limited to: support roles at various absentee voting locations throughout Minneapolis as necessary; support roles at elections warehouse facility.
  • Complete various projects at the request of the Professional Level Staff in the division and City Clerk’s Office.

WORKING CONDITIONS:    Normal office setting with occasional field work; may involve assignments and travel to and from various Minneapolis sites, including outdoor and/or warehouse-related activities.

 

Required Qualifications

Minimum Education: 
 High School Diploma or equivalent.
 
 Must meet Minnesota State Election Judge qualifications;
 

  • Eligible to vote in MN;
  • Must be at least 18 years of age;
  • Able to read, write, and speak English;
  • Cannot be a candidate, or the spouse, parent, stepparent, child, stepchild, sibling or stepsibling of a candidate on the ballot;
  • Or domiciled, either permanently or temporarily, with any candidate on the ballot and;
  • Cannot be a candidate in the election.

Licenses/ Certifications: 
 Election Judge Training provided.
   
 Background Check
 The City has determined that a criminal background check and/or qualifications check may be necessary for certain positions with this job title. Applicants may be required to sign an informed consent form allowing the City to obtain their criminal history and/or verify their qualifications in connection with the position sought. Applicants who do not sign the informed consent form will not be further considered for the position.
 
 This position is not represented by a collective bargaining unit.        

 

Knowledge, Skills and Abilities

 

  • Excellent customer service/communication skills, both written and verbal.

  • Knowledge of office practices, policies, and procedures as they relate to the assigned department.
  • Strong proficiency on computers, to include word processing, spreadsheets, and database programs.
  • Ability to make minor decisions in accordance with laws, regulations, and established departmental policies and apply judgment in interpreting and applying procedures.
