Executive Assistant

POSITION TITLE: Executive Assistant
REPORTS TO: Director, Project Management & Impact
SUPERVISION EXERCISED: May serve as Supervisor for interns, serve as liaison between administrative and managerial staff as needed, and provide training on processes and software.
LOCATION: Anywhere ADL has an Office
Grade/Class: Grade C, Non-Exempt, Non-Union

PRIMARY FUNCTION:
 
To provide a broad range of administrative and project management support as well as substantive assistance to the SVP of Impact and the SVP of National Affairs and their respective departments.

Responsibilities

Primary:
  • Provide support to the SVP of Impact and the SVP of National Affairs and their respective departments, including program and event support, database management, administrative processing, and scheduling
  • Day-to-day lead for Impact and National Affairs Department's internal performance and operational planning.
  • Coordinate projects and issues with, Travel, Operations, and Regional Offices.
  • Maintain administrative records for key projects and the Impact and National Affairs Department's Front Office budget.
  • Work closely with accounting and finance team to execute vendor contracts and payments.
  • Conduct research, analyze content, and write memoranda on areas related to the Impact and National Affairs Departments. 
  • Compile, prepare and submit data and reports for internal and external stakeholders.

Secondary:

  • May serve as a point of communication for external contacts and stakeholders
  • Lead certain projects and initiatives.

Qualifications

Skills:
  • Strong computer skills (including Word, Excel, and PowerPoint), analytical and interpersonal skills.
  • Excellent written communication skills.
  • Demonstrated ability to prioritize and multi-task to complete projects.
  • Exceptional attention to detail.
  • Strong customer service and communication.
  • Strong team player.
  • Preference for experience with dashboards and data visualization.

Work Experience:

  • The ideal candidate has a several years working in a professional office, including experience as an executive assistant.

Education:

  • Bachelor’s degree or equivalent experience is required.
 
Work Environment:
  • ADL COVID-19 Protocol (updated periodically)ADL is adhering to public health guidance regarding COVID-19. ADL will require that all employees are vaccinated with exceptions for medical and religious accommodations. ADL is requiring proof of vaccination. ADL is a hybrid environment; this role may require 3 days in the office.
Compensation: 
  • This position has a salary range of $37,000 to $60,000. Please note that actual salaries are commensurate with experience and reflect the budget for a given position, and since ADL has a location-based compensation structure, there may be a different range for candidates in other locations.
