Summary


The Office of Organizational Learning is looking for a high-energy, detail-oriented individual to join our fast-paced team. Organizational Learning is the university's central department for professional, career, and leadership development serving over 32,000 faculty and staff members across its campuses and hospital. Responsibilities*


  • Coordinate administrative support for both virtual and in-person programs including logistics, room scheduling and set-up, managing course assignments and course completion documentation, catering, arranging and supervising vendor service delivery, audiovisual equipment, virtual moderating
  • Troubleshoot technical problems during training sessions
  • Act as a registrar in the My LINC learning management system to enroll participants, track progress and maintain training history
  • Manage course interest list including communication to waitlist participants when sessions are unavailable
  • Close all program sessions in MyLINC, upload attendance roster in Qualtrics and distribute post-session survey and materials to participants
  • Video record sessions, order captions, edit videos and notify administrators when video is ready for playlist.
  •  Be the first point of contact to monitor and respond to incoming requests from program participants and course facilitators
  • Ensure course facilitator(s) have all necessary resources and materials for a successful program
  • Be a backup support to help evaluate incoming TeamDynamix (TDX) requests to the correct team
  • Provide backup moderation support for virtual training programs with more than 100 registrants

Required Qualifications*


  • Associate's degree or equivalent combination of education, certification, and experience
  • 1+ years of experience in a similar position/administrative role
  • The individual should have excellent customer service experience working collaboratively with others
  • Demonstrated ability to organize and follow through while attending to detail and meeting deadlines
  •  Experience providing technical support for virtual sessions on Zoom
  • Proficiency using Microsoft Office and Google Suite applications

Desired Qualifications*


  • Experience with learning management systems, such as My LINC
  • Familiarity with survey analytics software such as Qualtrics and Google Forms
