Senior Administrative Assistant - Human Resources

Overview

As a Senior Administrative Assistant, you will assist the leaders of Seneca's Human Resources team in matters of communication, organization, and project completion. This role is a great opportunity to become well-versed and engaged in the Human Resources operations that make a nonprofit successful. You will use your organizational and communication skills to liaise between HR leaders, other Executive Leadership, and agency staff. You will successfully balance multiple projects and collaborate with your team who is equally passionate about providing Unconditional Care to youth and families. This position will have a hybrid work schedule with the expectation that you are onsite once a week at our Oakland headquarters.

Responsibilities

  • Schedule meetings as needed, including scheduling meeting time with participants, drafting agendas, preparing materials, scheduling rooms, sending notices, and coordinating meeting logistics.  
  • Provide project management support for the HR department's initiatives.  
  • Create and support internal and external communication, documents and HR initiatives.  
  • Draft and disseminate offer letters to new employees
  • Plan and implement events within the HR team, as well as agencywide events as needed
  • Connect with Seneca employees, program managers, and agency leaders as needed regarding HR initiatives, policies, and updates
  • Maintain HR expense reports, supplies, and office administration

Qualifications

  • Experience/education requirements:
  • Bachelor’s degree + 1 year of applicable work experience OR
  • Associate's degree or equivalent + 2 years of applicable work experience 
  • High school diploma/GED + 3 years of applicable work experience
  • Applicable work experience includes any paid or unpaid experience in an administrative capacity requiring customer service, data entry, ability to prioritize multiple projects within strict deadlines, and/or coordination with multiple departments
  • Ability to work independently and stay organized while multi-tasking and prioritizing projects 
  • Demonstrated proficiency in Microsoft Word, Outlook, and Excel 
  • Ability to collaborate with diverse co-workers, partners, and community members 
  • Must be 21 years of age or older 
  • Clearance of TB test, physical exam, fingerprints and any other mandatory State/Federal requirements 
  • Proof of COVID-19 vaccinations and booster 

Schedule

  • Full time, Monday - Friday
  • Hybrid work schedule

  • Staring salary at $27 per hour, commensurate with experience.
