Direct Care & Treatment includes an array of programs serving people with mental illness, developmental disabilities and chemical dependency. The Direct Care & Treatment healthcare network consists of inpatient, outpatient and residential services. These programs include Forensics, Mental Health and Substance Abuse Treatment Services, Community Based Services, Minnesota Sex Offender Program and Ambulatory clinics. Each of these programs strive to address the complex needs and challenges of people served to optimize their potential and support their life goals.
Job Summary
The Health Information Management Services (HIMS) Department works within a team to deliver quality medical record management outcomes. As the heartbeat of any healthcare facility; the individuals within this department bridge roles, connecting clinical, operational and administrative functions to all clientele. These professionals affect the quality of patient information at every touch point within the programs while maintaining the highest standards of data integrity, confidentiality and information security. The HIMS Administrative Specialist is responsible for HIM operational functions supporting the completeness, integrity, and privacy of medical record documentation with a high degree of accuracy and attention to detail.

Primary Responsibilities Include:
·        Ensure client medical records are accurate, complete, and compliant
·        Manage the integrity of protected health information
·        Maintain a medical record system for active and closed records
·        Release patient information upon receipt of a valid authorization for the release of information


Minimum Qualifications:

·        Customer service skills sufficient to provide courteous, prompt, and effective customer service by phone, email, or in person
·        Data Entry skills sufficient to locate, update and retrieve health information from a variety of databases including electronic health records
·        Database Management skills sufficient to complete data entry and navigate systems
·        English Language skills sufficient to read, write, and understand with proficiency in spelling, grammar, and punctuation
·        Specialized terminology including knowledge of medical terminology and medical records management
  • Typing/Keyboarding skills sufficient to complete a variety of reports, letters, forms, and data summaries
  • Word processing skills sufficient to complete a variety of reports, letters, forms, and data summaries

Preferred Qualifications:
  • Experience within the records management field, medical terminology or electronic medical records
  • Experience with data systems such as FileNet, Phoenix, Electronic Document Management System (EDMS) and Avatar
Job Specific Requirements:
Those crossing Appointing Authorities may be required to: successfully complete a physical assessment; provide education documentation (high school diploma, GED, college transcript, or college degree); provide documentation of a tuberculin skin test (TST), formerly known as “mantoux” done within the last year-if you cannot provide proper documentation you will be required to receive an updated TB Blood Test.
