Part-Time Accounting Specialist

Summary
The Accounts Receivable/Payable Specialist is responsible for maintaining customer and vendor accounts. This includes monitoring and managing account balances, processing payments to vendors and payments from customers in a timely fashion, and maintaining adequate records for both AR and AP sub-ledgers

Essential Duties & Responsibilities
A/R Duties include:
• Managing customer account balances
• Working with Divisional contacts or customers directly to collect past due balances
• Apply cash receipts to customer accounts and follow-up on any discrepancies

A/P Duties include:
• Managing Vendor account balances
• Obtain and verify appropriate approvals and account coding for payables
• Enter payables into accounting system and process weekly payments
• Working with Divisional contacts or vendors directly to manage payable balances
• Maintain Vendor information including Tax ID numbers, W9’s, and 1099 status
• Process annual 1099 reports

Other Duties include:
• Answering, screening, and forwarding incoming phone calls
• Perform other clerical receptionist duties such as filing, photocopying, scanning and faxing
• Receive, sort, and distribute daily mail/deliveries
• Complete all other duties as assigned by management

Qualifications and Education A high school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience is preferred.

Language Skills Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.

Mathematical Skills Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills To perform this job successfully, an individual should have knowledge of Accounting software; Spreadsheet software and Word Processing software.
