Job Summary
The Warehouse Operations Specialist manages the daily flow of inbound and outbound freight — from scheduling and documentation through tracking, reporting, and exception resolution — serving as the key link between production, warehouse operations, Customer Service, carriers, and customers to ensure shipments are executed accurately and on time. This role requires ownership and accountability, precision in documentation and communication, proactive problem-solving, and the ability to work seamlessly across departments while resolving issues quickly and keeping all internal stakeholders informed. Success is measured by on-time shipment execution, accurate shipping documentation, timely communication of delays and exceptions, clean daily follow-up on open orders, and effective support of inventory accuracy and issue resolution.
Duties
- Manage warehouse distribution activities, including stocking, inventory control, shipping & receiving, and materials handling to ensure accuracy and efficiency.
- Utilize warehouse management systems (WMS) and ERP systems such as SAP or Oracle to track inventory levels, process orders, and coordinate transportation logistics.
- Conduct data collection and analysis using Excel, SQL, Tableau, and other data analysis tools to identify trends, root causes of issues, and opportunities for process improvement.
- Collaborate with procurement teams on sourcing strategies, vendor management, pricing negotiations, and category management to optimize supply chain costs.
- Coordinate transportation planning with 3PL providers (Third-Party Logistics), freight carriers, NVOCC (Non-Vessel Operating Common Carrier), and shipping logistics to ensure timely delivery.
- Perform manual handling tasks safely using forklifts or other equipment while adhering to safety protocols.
- Engage in cross-functional communication with production planning, customer service, and logistics teams to support demand planning and order fulfillment accuracy.
Key Responsibilities:
Shipping Execution
- Schedule and coordinate all inbound and outbound shipments daily — truck, UPS, FedEx, intercompany containers, and international freight — to meet customer due dates.
- Prepare BOLs, packing lists, carrier labels, and export documents; serve as the primary freight forwarder contact and verify invoices for accuracy.
Order Coordination & Customer Communication
- Interact with Customer Service daily to prioritize orders, communicate delays and inventory issues same-day, and provide tracking updates.
- Serve as the liaison between Customer Service, Sales, and Shipping; notify customers when orders are ready and provide dims and weights when requested.
Tracking, Reporting & Daily Operations
- Monitor shipment and delivery status daily and keep internal stakeholders updated.
- Run the open picking tickets report (UKM_COMMITMENTS) daily, investigate unshipped orders, and communicate root cause and next steps to Customer Service.
Inventory Support & Issue Resolution
- Back out picking tickets and adjust SAP inventory for CNF items; communicate daily status to Customer Service and coordinate resolution until closed.
- Conduct cycle counts and inventory checks when requested; receive goods against POs daily and process receipts accurately.
Claims & Exception Management
- Submit, track, and manage freight claims for damaged or missing shipments; coordinate customer returns with Customer Service.
- Escalate unresolved shipping problems to the Warehouse Manager and inventory discrepancies to the Materials Specialist.
SAP & Systems
- Complete all SAP transactions daily and manage ASNs and platforms including Wed-EDI and Navisphere; maintain proficiency in all tracking systems used by the department.
Requirements
While not all qualifications are required, the following will support success in this role:
Education & Experience
- High school diploma required; associate's degree in logistics, supply chain, or related field preferred.
- 2+ years in shipping, distribution, or logistics coordination; experience with BOL preparation, carrier coordination, and freight forwarders preferred.
- SAP or ERP experience strongly preferred; familiarity with ASNs, export documentation, and international shipping a plus.
Skills & Competencies
- Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
- Excellent communication skills; proficiency in Microsoft Office and shipment tracking systems; sense of urgency essential.
Physical Requirements
Must be able to lift up to 60 lbs, stand and move for extended periods, push/pull material handling equipment, and work safely in a warehouse environment with varying conditions including temperature changes, dust, and noise.
Work Environment
Manufacturing and warehouse environment with regular interaction across warehouse, production, Customer Service, and transportation providers. Overtime and occasional weekend work may be required. All Teufelberger regulations, SOPs, Code of Conduct, and product liability policies must be observed at all times. Other duties as assigned by the Warehouse Manager or Director of Supply Chain.
