Who We Are: 

With three campuses along Colorado’s Front Range, FRCC is the state’s largest community college. We enroll close to 28,000 students annually from our diverse service area, which offers a variety of cultural and recreational activities. 

Each year approximately 5,000 FRCC students transfer to four-year universities and FRCC offers more than 36 career training programs that prepare students for immediate employment and rewarding careers. Last year, more than 5,000 high school students took concurrent enrollment classes with us, earning college credit without having to pay college tuition. Job Summary: 

As the Manager of Institutional Events at Front Range Community College (FRCC), you will lead the detailed planning, coordination, and execution of institutional events across all three FRCC campuses. Your responsibilities will encompass creating welcoming event spaces and supporting the smooth execution of institution-wide events that affect FRCC's reputation, partnerships, and employee engagement.  

Reporting to the Director of Institutional Events in the Office of the President, you will be responsible for crafting exceptional event experiences for external clients and internal stakeholders including FRCC dignitary events, campus festivals, fundraising events, and major ceremonies like Commencement and collegewide employee training day. You will work collaboratively with team members and cross-departmentally with Student Life, Information Technology, Foundation & Community partnerships, Facilities, and Security.   

Essential skills for this role include effective communication, project management, critical thinking, decision-making, attention to detail, and resourcefulness. You will also partner with external organizations, including the Colorado Community College System (CCCS) and other community partners, to manage on- and off-campus events.  

This position has the opportunity to work remotely occasionally but does require a strong on-campus presence and will need to travel to all three FRCC campuses. Evening and weekend work is occasionally required to support college events and initiatives. Duties are performed in a standard office setting with frequent event-space visits, and the role involves occasional lifting and transporting materials of up to 20 pounds.

Duties & Responsibilities: 

Event Coordination 

Plan, coordinate, and execute internal and external events across all three college campuses.  

Establish event specific task teams with campus event set-up specialist, administrative staff, student workers, and college partners.   

Create and maintain timely, accurate records of event details in the team’s event management system throughout the event’s lifecycle, from intake to debrief forms.  

Gather and communicate client details related to event timelines, production schedules, contingency plans, and logistics from initial intake through post-event wrap up.  

Define and record scope, goals, audience, and success measures for each event.  

Oversee event room selection, layouts, catering, audiovisual needs, and on-site execution.  

Ensure consistency, quality, and alignment with institutional priorities across all events.   

Serve as the primary point of event contact for internal and external clients.  

Administrative 

Maintain standardized templates and workflow processes, suggesting improvements for operational efficiency.  

Track event logistics, contracts, and vendor communications to ensure timely execution.   

Research options and build effective vendor relationships with caterers, transportation providers, third party A/V, and other outside vendors.    

Negotiate and track vendors financial transactions; submit to Administrative Assistant for payment processing. 

Event Marketing and Promotion 

Submit event marketing requests to internal marketing team or external vendors as needed to create creative assets and event promotions.  

Coordinate event swag ordering, inventory management, and distribution for institutional use.  

Create welcoming event spaces that are tailored strategically to event purpose, audience, desired event outcome, and institutional branding.  

Data and Assessment 

Monitor individual event budget expenditures to ensure financial accountability and effective resource allocation.  

Develop post-event debriefs with recommendations to inform future planning.   

Track key performance indicators to support strategic decision –making and continuous improvement.

Event Planning Skills- Strong proficiency in planning and executing a variety of events, including student-oriented activities, workshops, fundraising, and budget management for events.  

Creativity- Able to generate creative ideas for events and promotions that engage and resonate with students and the community  

Operational Planning- Ability to turn the strategic plan into an operational roadmap that guides the division. Support teams in tying their goals to the college’s strategic plan and charge them to do the same with the employees they supervise.  

Communication- Communicates effectively with individuals with different backgrounds; ability to communicate in a way that is effective. Tailors appropriate language, vocabulary, and tone to appeal to and connect with our diverse stakeholders, including Students, Staff, Faculty, External Community Partners, Elected Officials, and other constituents.

Minimum Qualifications: 

Associate’s degree in Event Management, Business or related field and 4 years of experience in event management, project coordination, or related field.  

OR  

Bachelor’s degree in Event Management, Business, Project Management or related field and 2 years of experience in event management, project coordination, or related field. 

AND 

Ability to work a flexible schedule at times, including occasional weekends, weeknights  

Detail-oriented with the ability to handle multiple tasks while independently following through with details.  

Excellent customer service skills with the ability to interact with a diverse group of people.
