Bilingual (Mandarin) Front Desk Receptionist

Summary

The Front Desk Receptionist serves as the first point of contact for clients, visitors, and staff. This role involves managing the front desk area, providing excellent customer service, and performing various administrative tasks to support the office's daily operations. The ideal candidate will demonstrate strong organizational skills, professional communication, and the ability to handle a fast-paced environment.

Responsibilities

The Front Desk Receptionist will be responsible for:

  • Creating a positive first impression by greeting visitors and clients warmly and professionally.
  • Managing incoming calls, emails, and correspondence while ensuring accurate routing to appropriate personnel.
  • Maintaining a clean, organized, and professional reception area that reflects the company’s values.
  • Coordinating schedules for meeting rooms and ensuring seamless operation of office events.
  • Assisting with administrative tasks such as data entry, filing, and overseeing office supply inventory.
  • Providing administrative support to team members across departments
  • Supporting client-facing interactions by answering inquiries and providing detailed information about the organization’s services.
  • Proactively identifying and addressing client needs, ensuring a high standard of service.
  • Creating leads from data entry and assigning them to producers.
  • Monitoring and/or responding to inquiries on the WeChat platform.

Essential Duties

  • Serve as a consistent point of contact for all visitors, ensuring a welcoming and efficient experience.
  • Answer phone calls promptly and professionally, addressing or directing inquiries effectively.
  • Monitor and maintain office supplies, ensuring no disruptions to daily operations.
  • Take initiative in preparing and maintaining an organized workspace for meetings and presentations.
  • Assist with onboarding new hires by ensuring they have the necessary materials and understanding of office systems.
  • Create and assign leads to producers based on accurate data entry.
  • Monitor and respond to client and team inquiries on the WeChat platform to maintain efficient communication.

Non-Essential Duties

  • Actively contribute to planning and organizing office events, such as team-building activities or client visits.
  • Assist with minor troubleshooting of office equipment and technology, such as setting up teleconferences or managing basic IT-related tasks.
  • Provide support during peak times, stepping into other administrative roles as needed.

Supervisory Responsibilities

  • While this role does not involve direct supervision of staff, the Front Desk Receptionist plays a key role in ensuring smooth daily office operations and acts as a central point of coordination between departments.

Required Skills & Qualifications

  • Education and Experience
    • High school diploma or equivalent required; additional education or certifications in administration or customer service preferred.
    • A minimum of 1 year of experience in a customer service, hospitality, or administrative role.
  • Technical and Computer Skills
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
    • Familiarity with scheduling software and phone systems.
    • Experience with database management and client recordkeeping is a plus.
  • Language Skills
    • Strong written and verbal communication skills in both Mandarin and English are required
