Job Overview: The Talent Acquisition Coordinator provides administrative support and partners with Talent Acquisition team members in ensuring a consistent and efficient hiring process. This role provides an exceptional candidate experience through greeting candidates/guests, answering questions, providing technical assistance, offering guidance on the application/recruiting process and troubleshooting challenges/issues. Provides support for lobby operations at HR Recruitment,
including assisting candidates, visitors and coordinating general administrative tasks such as onboarding, gaming commission paperwork and I-9 compliance.

Elevate & Thrive: Key Responsibilities

  • Performs talent acquisition responsibilities within the hiring process to include posting online requisitions, scheduling interviews, preparing reports, creating team member personnel files, and administering data collection and retention for the Team Member Candidate Referral Program in a timely manner.
  • Coordinates and manages onboarding for all new hires, including scheduling, assisting incoming team members, preparing reports, and maintaining online documentation.
  • Partners with Learning and Development, Leadership, and Engagement teams to support Team Member Orientation. Ensures onboarding activities are completed accurately and on time in alignment with established deadlines.
  • Prepares and distributes notification memos to employees and team members and appropriate department personnel regarding work authorization (I-9) updates, required certifications, education; verifies validity of Native American preference identification and
    driving records if applicable.
  • Plans, coordinates, and provides support for Talent Acquisition events, both virtual and onsite. Assists with the execution of the Talent Acquisition Internship Program, including event coordination and logistical support.
  • Reviews and executes pre-employment screen actions and updates information in accordance with requirements, serves as primary liaison and point of contact for the preemployment and Gaming Commission process about new hire status; escalates potential issues to TA leaders; accurately enters pre-employment data in HR system. Answers calls and manages shared inboxes, takes timely action on specific items or routing questions and requests to appropriately.
  • Regularly manages confidential information, e.g., salary, criminal history, employment history, and other screening information for employment eligibility and strictly maintains confidentiality and privacy.
  • Actively seeks to improve process efficiencies and elevate service capabilities in all aspects of Talent Acquisition.
  • Monitors and maintains office supplies, submits work orders for repairs or maintenance, and coordinates workspace changes such as cubicle moves to ensure an efficient and organized environment.

Job Requirements:

  • Bachelor’s or associate degree in human resources or related areas of study and 1+ years of Talent Acquisition experience OR 3+ years direct experience working in Talent Acquisition as a Coordinator, Onboarding Specialist or TA Specialist.
  • Basic to intermediate experience with MS Office/Microsoft 365 products specifically Word, Excel, Teams and Outlook.
  • Experience with human capital management systems and applicant tracking systems such as UKG, Workday, Paradox, etc.
  • Strong customer service focus and the willingness and ability to work with diverse audiences.
  • Excellent verbal and written communication skills to partner with all levels of Human Resources, leaders, and team members.
  • Highly detailed and organized with proved ability to pivot or shift work priorities as needed.
  • Ability to work independently and as part of a team and handle multiple priorities.
  • Bi-Lingual (Spanish, Hmong, etc.) preferred.
