Position Overview:
The Community Development Division is seeking a highly organized and detail-oriented Administrative Specialist II who enjoys supporting meaningful work that serves the community. This position plays a vital role in helping the Division operate efficiently while ensuring public records and information remain accurate, accessible, and well organized.
The Administrative Specialist scans, organizes, and maintains Division records to ensure accuracy, accessibility, and compliance with applicable records retention requirements. Through careful records management and attention to detail, the Administrative Specialist helps maintain transparency and accountability in the Division’s work. The position performs a variety of office, financial, and logistical tasks that help keep Division operations running smoothly.
The Administrative Specialist coordinates meetings and prepares materials for the Planning Commission and other assigned committees, including attending the meetings, taking minutes, and supporting required public noticing processes. The position maintains Division information resources, including webpages and reference materials, to ensure staff and the public have access to accurate and current information. The Administrative Specialist also supports land use appeals and other Division processes by preparing and organizing documentation, tracking materials, and assisting with administrative coordination.

Training & Experience:
The City will consider any equivalent combination of knowledge, skills, education, and experience to meet minimum qualifications. Such a way to meet minimum qualifications could include:
•Associate degree or two-year technical certification in the field of business administration, or a closely related field, and;
•A minimum of 3 years’ experience in administrative support including maintaining documents and records.
Preferences may be given for knowledge and experience:
•Prior government or public sector experience
Selection and Interview Process:
Top candidates will be asked to complete a basic office computing test that includes filing, spelling, and grammar.
Finalists will be asked to interview- date to be determined.
As a part of our selection process, it will be necessary for candidates to provide the names and email addresses of up to five professional references (including two managers) that can provide information on work performance. To avoid any delay in the process, we ask candidates to start gathering reference information now (name, email address, contact info and time period you worked together). The selection process will include: reference checks and criminal background check.
