Pre-Bid Coordinator

Role Overview

The Pre-Bid Coordinator serves as the operational hub of the estimating department. This role manages incoming bid opportunities, organizes construction documents, and performs an initial review of plans and specifications to identify missing information or potential scope issues before projects move into estimating. This position ensures estimators begin each project with complete, organized information and that potential risks or clarifications are identified early through RFIs and coordination with general contractors or architects.

Key Responsibilities

Project Intake & Document Control

• Review incoming project opportunities and load approximately 25–30 projects per week into the estimating system.

• Organize drawings, specifications, and bid documents using standardized folder structures.

• Request complete bidder lists from architects or general contractors when loading projects.

• Maintain a structured document system so estimators receive clean and organized files.

Pre-Bid Plan Review

• Perform an initial review of architectural drawings and specifications to identify inconsistencies, missing information, or scope ambiguities.

• Flag potential issues and coordinate with estimators when clarification may be required.

• Assist in initiating RFIs prior to bid when design intent or scope is unclear.

Communication & Coordination

• Monitor and manage the centralized inbox.

• Distribute project updates and addenda to the appropriate file location.

• Maintain addendum logs and ensure estimators acknowledge updates before bid submission.

• Coordinate substitution requests when required by the project team.

Bid Tracking & Scheduling

• Maintain bid calendars and project tracking systems.

• Monitor project deadlines and ensure documents remain current throughout the bid process.

• Support the estimating department by maintaining consistency and structure in project workflows.

Qualifications

· 1–2 years of experience in construction estimating or project coordination (internship or field experience a plus).

· Strong ability to read and interpret construction drawings and technical specifications.

· Experience with Bluebeam or similar takeoff software.

· Exceptional communication and follow-up skills — this role requires active relationship management.

· Experience in bid rooms such as iSqFt and Building Connected.

· Proficiency in Microsoft Office and document management systems.

Preferences

· Organized, detail-oriented, and capable of handling multiple bids under tight deadlines.

· Self-driven learner with a team-first mentality and willingness to share insights that strengthen the collective.

· Strong organizational and administrative skills.

· Ability to manage high-volume document flow.

· High attention to detail and procedural discipline.

· Construction industry familiarity preferred.
