The expected base wage range for this position is: $27-$30/hour. This position may be eligible for additional compensation according to the Company's policies, as they may be amended from time to time.
The PAYROLL SPECIALIST AND STAFF ACCOUNTANT is responsible to ensure the timely and accurate distribution and documentation of payroll transactions. To assist with month-end accounting and accounts receivable tasks.
ESSENTIAL DUTIES:
- To follow all specified procedures to accurately prepare and distribute pay checks to all specified personnel, on a bi-weekly basis, ensuring the accuracy of all back-up documentation.
- To maintain professional discretion and confidentiality at all times.
- To advise and assist employees and other department heads regarding payroll policies and company practices and to help facilitate resolution of employee issues.
- To process and monitor wage garnishments, in response to legitimate requests from authorized agencies.
- To attend Wage & Hour, Payroll and ACA seminars no less than twice a year to stay current on compliance, and to institute best practices.
- To fully understand the software systems in use and troubleshoot any system challenges, bringing them to the appropriate resolution.
- To ensure that all relevant information from all Personnel Transaction forms are input into the payroll systems.
- To provide the corporate office with documentation of all salaried hours worked on property, for each pay period.
- To prepare and distribute labor and payroll reports needed for operational/management controls to appropriate department heads, or the corporate office. Reports include, but are not limited to, meal penalties, daily labor, hours worked by position, punch edits, incomplete and negative attestation responses, gratuities and workers compensation.
- To complete payroll tax forms and related back-up documentation for all W-2 forms, W-3c transmittals, and annual reconciliations.
- To monitor company compliance with both State and Federal payroll related laws.
- To process meal and rest penalties appropriately in relation to Attestation responses.
- To provide accurate information at all times within any Payroll/Accounting related correspondences.
- To understand and respond to employee questions and requests in a timely and professional manner.
- To assist, as requested, with the month-end closing process, including preparing and posting journal entries; distributing preliminary reports to departments; researching variances; producing the financial package.
- To assist, as directed, with month-end tasks, including inventories, inventory schedules, reconciliations, gift card reporting, etc.
- To assist Accounts Receivable, as requested, to respond to customer inquiries and resolve billing concerns promptly and professionally.
- To assist the Sales and Marketing team in collecting deposits, final estimates, and monitoring A/R aging reports.
- To create and process invoices for groups, banquets, and catering events, ensuring accuracy and timely adjustments.
- Collaborate with the Sales and Conference Services teams to confirm billing details and resolve discrepancies.
- To direct and control month-end inventory schedules and extensions.
- To prepare analytical reports and financial forecasts, as requested by management.
QUALIFICATIONS:
English fluency required. Must have minimum 2 years of payroll experience and have strong working knowledge of payroll systems, California wage laws and report writing skills. Must know 10 key by touch. Computer experience required. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams, Calendar). Must have strong priority management skills. Good basic typing skills required. Hotel experience preferred.

PHYSICAL/MENTAL DEMANDS:
Stands/walks approximately 10-15% of shift. Sits at desk or in meetings approximately 85-90% of shift. Uses personal computer approximately 85-90% of shift. Occasionally required to handle an move objects weighing up to 40 lbs over short distances. Requires extensive reading, analytical skills and computation to perform routine job tasks. Business levels may require fast work pace. Must be able to work under pressure.
TRAVEL:
This position is not expected to travel for work.
REMOTE WORK:
This position is not eligible to work remotely. The candidate must be able to work in-person during normal business hours.
