Hourly Rate: $25.50 per hour
Location: Hybrid – with regular onsite in Sharon, CT
Position Summary
The Administrator and Registrar – Silver Lake Camp and Retreat Center (SLCRC) provides essential administrative and operational support to ensure smooth day-to-day functioning of the ministry. This role manages camper and guest registrations, maintains accurate records and compliance documentation, and serves as a welcoming presence for families, guests, and partners. The Administrator and Registrar works closely with the Team Lead and the Conference Finance Team to maintain accurate systems, ensure compliance with all state and federal requirements, and support both summer camp and year-round retreat operations. In all responsibilities, this role reflects the mission of Silver Lake and the vision of the Southern New England Conference to make God’s love and justice real through hospitality, stewardship, and service. The Administrator and Registrar – Silver Lake Camp and Retreat Center (SLCRC) is a 1-year term position with the possibility of extension.
Key Duties and Responsibilities
Registration and Compliance
- Manages registration for summer camp and retreat programs, providing timely and accurate information to families and groups.
- Maintains confidentiality of camper and guest information, including health and educational records, in compliance with HIPAA and state/federal requirements.
- Serves as Sunday check-in coordinator during summer camp sessions, providing direct support to families and staff.
Administrative Support and Guest Services
- Maintains accurate databases and generates reports for the Team Lead, Conference staff, and governing bodies as requested.
- Serves as a welcoming point of contact by answering phones, responding to general emails, and greeting guests.
- Provides scheduled tours of the site for prospective families, retreat groups, and other visitors.
- Supports summer administrative staff and seasonal help through training, and mentoring.
- May draft and send marketing materials as directed by the Team Lead.
Financial Coordination
- Processes registration payments, scholarship applications, and financial aid decisions in collaboration with the Conference Finance Team.
- Prepares and mails invoices, tracks payments, and supports accurate financial reporting.
- Assists with gift entry and acknowledgement letters in collaboration with the Director of Philanthropy.
- Orders and manages office supplies in alignment with budget guidelines and works with the Finance Team on cost control.
Operational Support
- Ensures accurate tracking of facility use and assists with scheduling retreat groups and vendors.
- Provides administrative support to the Team Lead and assists in the coordination of camp/retreat operations as needed.
- Demonstrates flexibility to work evenings, weekends, and extended hours during the camp season.
- Performs other duties as assigned to advance the mission and ministry of Silver Lake.
Qualifications:
- Associates degree and/or equivalent years of experience preferred.
- Previous Summer Camp administration experience and/or related activities required.
- Familiarity with database management and/or related experience required.
- Proficient in Microsoft Office, and electronic spreadsheets required.
- Strong Problem Solving and Written/Oral Communication Skills required.
- Experience preparing and writing newsletters preferred.
- High degree of self-initiative, and ability to function with minimal direction.
- Must have the ability to promote the Ministry and Mission of Silver Lake: widening the circle of support with alumni, families, donors, Board of Directors, local churches, and the wider church.
- Demonstrated ability to work within a team environment.
- Ability to multi-task in a high pace, youth-oriented setting (Summer in particular).
- Must maintain a current driver's license.
Conference-Sponsored Events
- The Administrator and Registrar - Silver Lake Conference Center will be required to participate in Conference-Sponsored events throughout the year

ADA Compliance
Physical Ability - Tasks involve the ability to travel to meetings outside the office, exert moderate physical effort, and may involve some lifting, carrying, pushing and/or pulling of objects and materials up to 20 pounds. Tasks may involve extended periods of time at a keyboard or workstation and/or repetitive motion.
Sensory Requirements - Some tasks require visual perception and discrimination. Requires oral communications ability.
Environmental Factors - Tasks are occasionally performed with exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, or pathogenic substances.
