Service Operations Assistant

Rael Fire Protection is looking for a detail-driven, organized, and motivated Service Operations Assistant to help keep our Service Department running smoothly. 

This is an in-person role where you’ll play a real part in making sure contracts, work orders, and site info are accurate, up to date, and moving forward.

If you like staying organized, checking things off your list, and being the behind-the-scenes force that keeps everything on track, this role could be a great fit. You’ll work in a fast-paced environment where accuracy, communication, and follow-through matter.

💼 What You’ll Be Doing

📄 Contract Setup & Data Entry

  • Enter new service contracts into our system with accuracy
  • Double-check site details, billing info, and service requirements so nothing slips through the cracks

🛠️ Work Order Support

  • Help manage and track active work orders
  • Keep work orders organized, updated, and moving toward completion
  • Communicate with the service team when info is missing or updates are needed

🏢 Site & Customer Info Management

  • Maintain accurate site details, contacts, and service notes
  • Make sure site records match contracts and work orders

🤝 Team & Admin Support

  • Support the service department with daily admin tasks (emails, documents, coordination)
  • Help prepare and format reports or service-related documents when needed

📞 Customer Support (as needed)

  • Communicate professionally with customers via phone and email
  • Route requests to the right team and capture information correctly

🎓 What We’re Looking For

Education

  • High school diploma or equivalent (required)
  • Administrative or office certifications are a bonus

Experience

  • Prior admin, operations, or service support experience is helpful—but not required
  • Experience with work orders, scheduling, dispatch, or customer records is a plus

Skills

  • Basic Microsoft Excel knowledge
  • Strong organization and time management
  • Clear written and verbal communication
  • Comfortable multitasking and prioritizing
  • High attention to detail (accuracy matters here!)
  • Willingness to learn new systems and software
