Salary Range: $26,800 - $27,700
The Faculty Senate (FS) Assistant provides high-level, confidential administrative and project management support for the effective operation of the Faculty Senate (FS) and governance body. The Faculty Senate Assistant facilitates communication, manages official records, and assists with the logistics of meetings, committees, and elections, allowing the faculty leadership to focus on academic policy and advocacy. This part-time, 10-month professional position offers a flexible four-day work week Monday through Thursday. There is a requirement to attend Faculty Senate and steering committee meetings on Tuesdays during the academic year.
Major Responsibilities/Duties:
Operational and Administrative Support:
- Coordinate all logistics for all faculty senate related meetings, including venue booking, A/V setup, and material distribution.
- Create, maintain, manage, and communicate a calendar of meetings for the academic calendar year.
- Provide comprehensive administrative support to the Faculty Senate chair, other elected officers and Faculty Senate related committees.
- Serve as a point of contact for Faculty Senate inquiries, providing timely responses or escalating to the appropriate recipients.
Communications and Documentation:
- Prepare and distribute meeting agendas, minutes, and supporting documents in a timely and accurate manner.
- Use rosters to create and keep attendance records at all meetings.
- Manage and disseminate announcements and relevant information from Faculty Senate to college community.
- Maintain the official record of all Faculty Senate actions and committee reports for institutional record keeping.
- Ensure catalog changes are submitted to the Chief of Staff (COS) and review changes when complete.
- Maintain Faculty Senate website, upload minutes, rosters, pictures, etc., as needed.
Elections:
- Oversee Faculty Senate election and referendum processes.
- Manage nominations, eligibility verification, and ballot creation.
- Coordinate voting and communicate results to the campus community.
- Maintain and update Faculty Senate and committee rosters.
Required Qualifications: Associate’s degree; Experience with word processing, spreadsheet, and website content management software; Experience working in an office setting; and, Customer service skills.
Preferred Qualifications: Experience working in higher education; Effective communication skills (verbal and written); and, Proficiency in Microsoft Word and Excel.

- Demonstrated listening, writing, editing, and proofreading skills
- Demonstrated interpersonal skills in establishing and maintaining positive and effective working relationships with colleagues
