Job Duties

The Virginia Department of Juvenile Justice (DJJ) protects the public by preparing court-involved youth to be successful citizens. DJJ is committed to excellence in public safety by providing effective interventions that improve the lives of youth, strengthening both families and communities within the Commonwealth.

We are hiring for a Behavioral Assessment Unit (BAU) Assistant to support the BAU by performing essential administrative, data entry, and coordination tasks related to the intake and assessment of committed youth. The role plays a key part in ensuring timely and accurate documentation, data tracking, and system entry in support of behavioral health evaluations and placement planning.

Working days are Monday through Friday.

Process Coordination & Data Entry/Management - Assist in monitoring timelines related to assessment scheduling, including tracking youth eligible for pre-placement services, MHSTP screenings, and MAT referrals. Support the maintenance of accurate digital records related to youth evaluations and screenings. Input assessment, evaluation information, and other behavioral assessment data into BADGE.

Administrative & Technical Support - Assist the Behavioral Assessment Specialists (BAS) and Administrator (BAA) with organization of documents, reports, and correspondence related to screenings and evaluations. Upload electronic versions of screenings and evaluations to the shared drive and assist with email distribution to assigned counselors and stakeholders.

General Juvenile Record/BADGE Duties - Handle confidential and sensitive juvenile information in accordance with laws, policies, and DJJ guidance, including encrypting emails containing sensitive information (e.g., §16.1-223, §16.1-300, 6VAC35-160, 6VAC35-170). Promptly and accurately document BADGE and other juvenile information in accordance with DJJ policy and procedure.

  • Must be able to work in a high-paced environment with competing priorities and frequent interruptions while maintaining accuracy and professionalism.
  • Dependability and ability to work with minimal supervision are essential given the administrative and technical nature of the role.
  • Assist with time-sensitive projects or data collection efforts to support agency continuous quality improvement efforts to include performance measures, audits, and/or compliance reviews.
  • Effective written and verbal communication skills, as the role requires coordination with facility staff, evaluators, and other stakeholders, both internal and external.
  • Sound judgement, professionalism, and the ability to maintain confidentiality when working with youth records.
  • Strong organizational, attention to details and time management skills, with the ability to meet deadlines efficiently
  • A collaborative mindset, adaptability to evolving processes, and a proactive approach to problem-solving.
     

Minimum Qualifications

  • Demonstrate ability to handle multiple tasks
  • Experience reviewing and managing sensitive data
  • Experience working with Microsoft Office applications
  • Experience working in an administrative support role
