Are you passionate about ensuring quality and accuracy within the dynamic world of medical communications? We are seeking a detailed-driven professional to assist in program close and reconciliation, and auditing of the speaker bureau program close and program closeout reconciliation workflows to enhance our operational efficiency while supporting our pharmaceutical clients. In this role, you will ensure that healthcare professional financial activities are executed accurately and in a timely manner to meet internal and client standards, contractual obligations, and industry regulations. This position is Georgia preferred, with remote work flexibility.
About the Role: As a Reconciliation Specialist, you will accurately perform a number of financial calculations, audits, and other program review functions in a deadline-driven environment and will collaborate with members of the speaker bureau team and compliance team, along with inter-company departments (e.g., accounting), ensuring our pharmaceutical clients receive the highest standards of service. Your contributions will directly impact our commitment to excellence and adherence to industry standards.
Key Responsibilities:
- Serve as the primary point of contact with internal speaker bureau partners regarding all program activity from speaker payment to program closeout for your assigned clients and deliverables.
- Ensure that inaccurate or incorrect speaker bureau activity information is not passed on to compliance team members and/or accounting, whether it be through data in the internal database, audit checklists, or related requests for payment.
- Execute program close reconciliation by reviewing the entire activity to confirm all components are reviewed, verified, and ready for transparency reporting.
- Perform speaker bureau program reconciliations based on predetermined client and compliance deadlines.
- Perform detailed reviews of receipts and individual cost allocations to accurately identify and resolve calculation errors, as well as any tax, gratuity, and allocation discrepancies, ensuring all issues are addressed with precision and in a timely manner.
- Conduct comprehensive internal audits of speaker bureau programs to uphold our high compliance standards.
- Contribute to continuous improvement initiatives to streamline processes and elevate quality standards.
- Provide support for special projects and departmental functions as requested by the Head of Department.
Your Expertise:
- Bachelor’s degree (preferably in business, finance, or a related field)
- Minimum of 1-2 years of relevant experience in finance, business (with a finance component), or other related fields within highly regulated industries
- Strong command of financial calculations and Microsoft Excel and proficiency with complex data analysis
- Keen attention to detail, ability to manage complex workflows, and problem-solving skills
- Excellent communication skills for effective collaboration across departments
