Legal Assistant Job Description

 

We're looking for an experienced and self-sufficient Legal Assistant to join our small, boutique estate planning law firm. This is not an entry-level position. We need someone who can hit the ground running, managing a wide range of administrative and legal tasks with minimal supervision. You should be proactive, organized, and have a proven track record of success in a similar role.

This is a full-time, in-person position only. This role is not remote or hybrid.

 

Key Responsibilities

 

As our Legal Assistant, you'll be the backbone of our office, handling a variety of essential duties, including:

Client Communication: Serve as the primary point of contact for clients, handling inquiries, providing updates, and building strong, professional relationships. You will be comfortable making callbacks and following up on potential new client leads.

Case Management: Manage all aspects of case files from intake to closing. This includes electronic filing, preparing and organizing legal documents, and ensuring all information is accurate and up-to-date.

Calendar and Deadline Management: You will be the gatekeeper of our calendar. You will be responsible for calendaring court deadlines, meetings, and important reminders. We need someone who is detail-oriented and can anticipate potential scheduling conflicts.

Mail and Correspondence: Process all incoming and outgoing mail, including sorting, logging, and distributing correspondence to the appropriate parties. You will be responsible for identifying and calendaring all court mail.

General Administrative Duties: Handle a wide array of administrative tasks, including answering phones, managing office supplies, and maintaining an organized and efficient office environment. You must be comfortable with the day-to-day operations of a small law firm.

 

What We're Looking For

 

Experience: A minimum of two years of solid, hands-on experience as a Legal Assistant in a law firm. Experience in estate planning or a related field is a major plus.

Self-Starter: You must be a natural problem-solver who can anticipate needs and take initiative. We are a small team, and we need someone who can manage their workload independently without constant guidance.

Technically Proficient: You should be highly comfortable with electronic filing systems, legal software, and standard office applications (e.g., Microsoft Office Suite).

Attention to Detail: You must have an unwavering commitment to accuracy. Missing a deadline or misfiling a document is not an option.

Discreet and Professional: You will be handling confidential and sensitive information. You must demonstrate the utmost professionalism, discretion, and a calm demeanor under pressure.
